Learn how asset access works based on site membership and how to update access to your organization's assets via the web app.

How does access for assets work?

By default, everyone in your organization can access all assets. But you can control access based on a user's site membership. This helps ensure users only see the assets relevant to them.

With asset access rules in place, you can enhance privacy, reduce information overload, and maintain data control. You can also expect the following key functionalities to be affected.

View assets

Users in your organization can view and select only assets from their assigned sites, including sub-sites.

View assigned actions for specific assets

If users are assigned an action for an asset they don't have access to, they'll still get notified and will be able to view the action.

View assets lists when offline

Asset lists may differ when offline. Asset access will apply when you're connected to your mobile network or Wi-Fi.

Scan asset barcodes or QR codes

Users in your organization can scan asset barcodes or QR codes, but will only see assets from their assigned sites, including sub-sites.

Conduct asset maintenance and view asset utilization charts

Users in your organization can view and select only assets from their assigned sites, including sub-sites.

As the creator of an asset, you will always have access to it, even if you lose access to the site it belongs to. In addition, if you have override permissions, you have full access to your organization's data, even if access rules are in place.

If your organization has no sites, all assets remain visible to everyone. Deleting a site also makes its assets visible to all users. While sites are included by default for all asset types, they can't be made required.

Edit asset access

  1. Log in to the web app.

  2. Select Assets cube iconAssets from the menu on the left-hand side.

  3. Click Symbol für EinstellungenEinstellungen on the upper-right of the page.

  4. Click Zugriff at the top of the page.

  5. Select any of the following options:

    • All assets: By default, this option is selected. It allows users to access all assets in your organization.

    • By site membership: This option allows users to access assets based on their site membership.
