Zapier: Create custom inspection reports on Google Docs

Learn how to create a Zap to automatically create custom inspection reports on Google Docs.

Google Docs templates allow you to use the same document multiple times instead of building your whole document from scratch. Using integration tools such as Zapier, you can automatically create inspection reports from a Google Docs template with SafetyCulture inspection data. This not only allows you to add custom formatting in the form of fonts, colors, and headings but also saves you time when creating standardized documentation within your organization.

Take note

  • This Zap utilizes Google Docs to create custom reports. Make sure you have a Google Docs template created in advance. Keep in mind that you need to prepare each field you want to populate with SafetyCulture data in the format of "{{FieldName}}", using two curly brackets to wrap a single word. We recommend that you use words that can be referred to when creating the Zap, as shown in the following example: An example of a Google Docs template for a Zapier integration.

  • Data that populates the custom reports are based on the inspections your account has access to. Learn how to give yourself inspection access by creating access rules or assigning the "Override permissions: View all data" permission.

  • This Zap utilizes Google Docs to create custom reports. Make sure you have a Google Docs template created in advance.

1. Inspection Completed in SafetyCulture

  1. Log in to Zapier.

  2. Click Create Zap on the upper-left of the page.

  3. Search and select SafetyCulture under "1. Trigger".

  4. Click the "Trigger Event" dropdown menu and select Inspection Completed.

  5. Click Continue.

  6. Select your SafetyCulture account from the dropdown menu. If this is your first Zap with SafetyCulture, click Sign in to SafetyCulture and then add your SafetyCulture account to Zapier by logging in.

  7. Click Continue.

  8. Click the dropdown menu to select the template. Please note that only the 20 most recently modified templates are shown. If the template you want to use is not on the list, select the Custom tab from the dropdown menu and enter the template's unique identifier in the text field.   9. Click Test trigger and click Continue once an inspection has been found.

2. Create Document from Template in Google Docs

  1. Search and select Google Docs under "2. Action".

  2. Click the "Action Event" dropdown menu and select Create Document from Template.

  3. Click Continue.

  4. Select your Google Docs account from the dropdown menu. If this is your first Zap with Google Docs, click Sign in to Google Docs or click Add section button within TrainingConnect a new account from the dropdown menu, then sign in to Google and add it to Zapier.

  5. Click Continue.

  6. Configure the following fields:

    • Template Document: Click the field and select the Google Docs template you've created.

    • New Document Name: Click the field and specify the document name. You can use inspection details from the dropdown menu to create a naming convention. For example, "[1. Inspection title]".

    • Folder For New Document: Click the field and specify the subfolder you want to save custom reports to.

    • Sharing Preference: Click the field and select the access level you want to provide. You can choose from view, edit, and view/comment.

    • Unused Fields Preference: Click the field to select whether you want to keep the format texts, such as "{{FieldName}}", if no inspection data is available.

    • Field Name: The fields you prepared in the Google Docs template will become available. Click each field and select the inspection data you want to populate, under "Inspection Completion in SafetyCulture". You can search for the question label within the dropdown menu and select the items that contain "Responses".

  7. You should see something that resembles the following example: An example of configuration, Google Docs action in Zapier.

  8. Click Continue.

  9. Click Test & continue. This should create a Google Docs document with the specified fields populated.

  10. Publish your Zap to start creating custom inspection reports on Google Docs. We also recommend that you name your Zap on the upper-left corner of the page.
