Linking files in SafetyCulture

Learn more about linking files from Documents so teams can access the right manuals, records, and supporting files where they work, without uploading duplicates.

Why link files in Documents to other features?

Linking keeps a single source of truth for files in Documents while making them available across other parts of SafetyCulture, such as Assets, Heads Ups, Training courses, Templates, and Inspections. Keeping files linked across workflows helps ensure teams always access the latest version while reducing duplicate files. For example, you can link a safety procedure or certificate once in Documents and use it across multiple locations, equipment, or teams while managing files in one place.

File linking is expanding to more SafetyCulture features soon!You can keep key files organized in Documents now, then link them when new features support it.

Where can you link files?

You can link files from Documents via the web app. The following table shows where linking is supported, what file types you can link, and what happens to linked files.

Assets

Link files to an asset from the asset profile or link one file to multiple assets in the asset list.

JPEG, PNG, PDF, DOC, DOCX, XLS, XLSX, and WEBP

Files stay in Documents and update everywhere they’re linked.

Heads Up

Link files to a Heads Up when creating or editing an existing one.

You can also link files to a Heads Up when you upload a new file in Documents.

JPEG, PNG, DOC, DOCX, PDF, XLS, and XLSX, and WEBP

Files stay in Documents, but Heads Ups use the version linked at the time. Uploading a new version in Documents does not update the file in existing Heads Ups.

Training

Link files to a course by adding them as a slide when creating or editing a course.

PDF, DOCX, DOC, XLS, and XLSX

Files stay in Documents and update everywhere they’re linked.

Templates

Link files to a template by adding them as an inspection instruction when creating or editing a template.

JPEG, PNG, and PDF

Files stay in Documents and update everywhere they're linked.

Inspections

Link files to an inspection by starting an inspection from a template with a linked file.

JPEG, PNG, and PDF

Files stay in Documents, but inspections show the version that was available when the inspection was started and do not update.
