Manage credentials for users in your organization

Learn how to manage credentials for users in your organization via the web app.

What are credentials?

Credentials are the workforce qualifications your team needs to track and renew. These include certifications and external licenses, such as driver's licenses, first aid certificates, and high-risk work licenses.As an admin, you can organize credentials by type, manage qualifications across your workforce, approve or reject submissions, and configure credential settings in your organization. Users can also submit and update their own credentials directly.

Each credential captures an issue date, expiration date, approval status, and version history. Use this to monitor renewals and confirm users meet role requirements before starting work. You can upload credentials in bulk via CSV or download credentials for reporting. This gives you full visibility of qualifications across the workforce and connects to onboarding workflows to support compliance.

Users can customize their notification settings to be notified when their credential is about to expire.

Please note thatyou need to have "Platform management: Users" permissionto manage another user's credentials from the list of users in your organization.

Add a user’s credential

  1. Log in to the web app.

  2. Click your organization name on the lower-left corner of the page and select Users.

  3. Select a user.

  4. Click Add credential on the right-hand side of the page. Add a credential in your user profile via the web app.

  5. Upload photos or PDF files of the user’s credential.

  6. Enter the following required credential details:

    • Credential type: The type of a credential. For example, "Driver's license".

    • User: The user a credential is associated with.

    • Issue date: The issue date of a credential.

    • Expiration date: The expiration date of a credential.

  7. Click Save.

You can upload credentials for users in your organization in one go using CSV.

Edit a user’s credential

  1. Log in to the web app.

  2. Click your organization name on the lower-left corner of the page and select Users.

  3. Select a user.

  4. Click on the credential's right-hand side.

  5. Select Add version or Edit latest version to create a new credential or update an existing one.

  6. Update the credential accordingly. Edit a user's credential via the web app.

  7. Click Save.

View a user's credential history

  1. Log in to the web app.

  2. Click your organization name on the lower-left corner of the page and select Users.

  3. Select a user.

  4. Click on the credential's right-hand side, and select View history.

  5. On this page,you can view all versions of the credential and select any of the versions to view more details.

View a user’s credential version’s activity

  1. Log in to the web app.

  2. Click your organization name on the lower-left corner of the page and select Users.

  3. Select a user.

  4. Select a credential.

  5. ClickActivity from the tab on the left-hand side of the page. View a user’s credential version’s activity via the web app.

  6. In this tab, you can view changes made to the following fields of the user's credential over time:

    • Issue date

    • Expiration date

    • Media files

View a user's credential approval status

  1. Log in to the web app.

  2. Click your organization name on the lower-left corner of the page and select Users.

  3. Select or search for the user to view their credentials.

  4. View the approval status on the lower-right of the credential. View a user's credential approval status via the web app.

Deleting is irreversible, and we cannot restore permanently deleted items. Confirmation is always required before any deletion, so be sure you're not accidentally deleting the wrong item.

Delete a user’s credential

  1. Log in to the web app.

  2. Click your organization name on the lower-left corner of the page and select Users.

  3. Select a user.

  4. Click on the credential's right-hand side, and select Delete. Delete a credential via the web app.

  5. In the pop-up window, click Delete.
