FAQ: Prorated charges

Take a look at the answers to some of the frequently asked questions regarding prorated charges for your organization's SafetyCulture plan.

Frequently asked questions

Prorated means in proportionality to some factor that can be exactly calculated. Specific to the context of subscription or renewal services, it means the proportional cost for how much time you have left in your billing cycle.

For example, if you started an annual plan with 5 full seats on January 1st, you would've been charged for all 5 full seats, paying for the full year's period. If you then add 2 full seats on July 1st that year, you would be charged for 6 month's worth of the cost for the 2 additional full seats. Essentially, July to January next year or half of the full year's cost. Finally, when your renewal comes on January 1st next year, you will be charged for 7 full seats for the next year's period.

As new employees join your company, you may need to add them as users to your SafetyCulture organization. If you need to add them to full seats but have none available, you can add more full seats and pay a prorated amount for each new full seat added.

We utilize a billing platform to facilitate payments, which calculates the prorated charges accordingly. If you have any questions regarding a charge, please contact our customer support team for assistance.

Vacating full seats by deactivating or removing users will leave those seats available for new or existing users in guest seats to fill. If required, you can reduce the number of full seats within 28 days before renewal or contact our customer support team when it's outside the 28 days.

Please note that annual plan charges outside of 30 days are not subject to credit or refund.
