Assign actions to external personnel via email

Learn how to assign actions to people outside your organization via email on the web app and the mobile app.

What does it mean to assign actions externally?

We understand there might be times when you need to assign actions to people outside your organization, like contractors, who don't have SafetyCulture accounts. To make the experience simple and to the point for them, you can assign actions to them using their email address, where they'll receive links to update actions.

Please note that external assignees are limited to updating action statuses and adding comments and media attachments. If you want external assignees to collaborate beyond just actions, you can invite them to your organization as SafetyCulture users.

Assign an action via email

  1. Log in to the web app.

  2. Select Actions from the menu on the left-hand side.

  3. Create or go to an existing action.

  4. Click the "Assign to users, groups or email" or "Assignee" dropdown menu and click Give external access.

  5. In the pop-up window, enter the full email address of the external personnel. For example, "john.doe@safetyculture.com".

  6. Click Give access. This notifies the person via email.

  1. Open the mobile app.

  2. Tap Actions at the bottom of your screen.

  3. Create or go to an existing action.

  4. In Details, tap User (clear) iconAdd assignees or the existing assignees.

  5. In the search field, enter the email address of the external personnel. For example, "supportau@safetyculture.com". Assign an action externally via the iOS mobile app.

  6. Select the email address in the list and tap Done at the upper-right of your screen. This notifies the person via email.
