Add time-based asset maintenance plans

Learn how to add time-based asset maintenance plans to ensure assets are serviced on schedule via the web app.

What are time-based maintenance plans?

Time-based maintenance plans help ensure your assets are serviced regularly, such as every 6 days or 3 weeks, regardless of how often you use them. This method supports preventative maintenance for equipment that must be serviced routinely to meet safety standards, reduce breakdowns, or comply with regulations.

Common examples include:

  • Weekly tool calibration in manufacturing

  • Daily oxygen cylinder checks in healthcare facilities

  • Scheduled lubrication of production line equipment

In SafetyCulture, time-based plans are part of a maintenance program that groups servicing rules applied across multiple assets. When setting up a plan, you define the interval and choose when to trigger alerts as the scheduled date approaches or passes. This structure helps teams monitor upcoming work, see which maintenance is overdue, and take timely action.

Time-based plans can also be used alongside usage-based plans, giving your team flexibility to service assets based on time, usage, or both.

You can only edit the plan name and description after saving. To change other details, create a new plan.

Add a time-based asset maintenance plan

  1. Log in to the web app.

  2. Select Assets cube iconActivos from the menu on the left-hand side.

  3. Click Icono de configuraciónAjustes on the upper-right of the page.

  4. Click Mantenimiento at the top of the page.

  5. Create a program or edit an existing one.

  6. In Number 1 filledDetalles del esquema, click Icono PlusAñadir plan at the center of the page.

  7. On this page, fill out the plan details:

    • Enter a plan name and description.

    • Select Meeting iconHora as the plan type.

    • Set how often maintenance should happen.

    • Set a threshold to define when the plan status should change.

    • Add up to 10 notifications to remind users or groups when maintenance is due.

  8. Click Guardar on the upper-right of the page.
