Bulk export inspections

Learn how to bulk export inspection reports from the web app to quickly download the data you need.

Why bulk export inspections?

Bulk exporting inspections allows you to download multiple inspection reports at once in a single export file. It’s helpful when you need to share large sets of inspection data, move records into another system, or keep organized backups. You can simply select the inspections you want and export them together from the web app, allowing you to streamline your workflow, reduce manual downloads, and make it easier to manage high volumes of inspection data.

Bulk export limits

The following limits apply when bulk exporting inspections:

  • PDF and Word: Maximum of 100 inspections at a time.

  • Excel and CSV (new): Maximum of 10,000 inspections at a time.

  • CSV with media: Maximum of 25 at a time.

If your inspection export exceeds the limits or you need specific formats, such as CSV with media or JSON, use the SafetyCulture Exporter for a more scalable solution.

Bulk export inspections

  1. Log in to the web app.

  2. Select Inspections icon mobileInspections in the sidebar or select it in Assets gallery view iconMore.

  3. Select the inspections you want to bulk export by checking each inspection's box on the left-hand side of the page. You can narrow down the inspections using the search box on the upper-left of the page or by clicking Plus iconAdd filter and selecting a filter option.

  4. Click Download iconPDF to bulk export your inspections as PDF files. To bulk export inspections using another file format, click Expand more icon and select an option.

If you're bulk exporting inspections as Excel or CSV, you have the option to:

  • Export all data: Include data from all questions in each inspection, including unpopulated fields such as notes and timestamps.

    • You can also include data from all logic questions in each inspection, including unanswered logic questions.

  • Remove empty columns: Columns that don’t have any data such as unpopulated notes and timestamps will be removed from the Excel export.

You can select across multiple pages when you bulk export inspections on the Inspections page. However, the "Select all" option is only available for the following filters:

  • Search field

  • Template

  • Conducted date

Frequently asked questions

This usually happens because of the regional settings in your spreadsheet program. To fix it, set the delimiter to a comma so the values are correctly separated into columns. You can follow the Microsoft Excel guide or the Google Sheets guide to adjust your settings.

This message appears when a Microsoft Word document contains fields linked to external content, such as a table of contents, linked images, or charts. By default, Word tries to update these links automatically when the file is opened, which triggers the pop-up message. If your workflow doesn’t require these links to auto-update, you can turn this setting off to prevent the message from appearing:

On Windows:

  1. Open Microsoft Word.

  2. Go to File, then click Options.

  3. In the pop-up window, select Advanced.

  4. Scroll down to the "General" section.

  5. Uncheck "Update automatic links at open".

  6. Click OK.

On Mac:

  1. Open Microsoft Word.

  2. Click Word in the top menu bar, then select Preferences.

  3. Under the "Authoring and Proofing Tools", click General.

  4. In the "Settings" section, uncheck "Update automatic links at open".

When you export inspections as CSV with media, SafetyCulture downloads your inspection photos to your computer as image files. During export, each image is renamed with an internal unique ID instead of the original file name or a simple serial number. This keeps file names consistent, prevents duplicates, and makes the export easier for automated systems or integrations to work with.
