Manage inspection report links

Learn how to manage inspection report links via the web app and mobile app to securely share inspection results while maintaining full control over access.

Inspection report links are public links or URLs that you can create for each inspection report and share with anyone so that they can view the report on a web browser. Unlike an inspection report's PDF or Word export, which includes the data at the time of exporting, viewing the report via a link offers a real-time view. This means updates made to the inspection are reflected via the report immediately, without the need to export it again.

  1. Log in to the web app.

  2. Select View report iconInspections in the sidebar or select it in Assets gallery view iconMore.

  3. Click the inspection and click Link iconShare in the side panel.

  4. In the pop-up window, click Link iconCreate and copy link. If there's an existing link, click Copy content iconCopy.

5. Share the link with anyone who needs to view the inspection report. If you need to copy the link again, click Copy content iconCopy.

  1. Log in to the web app.

  2. Select View report iconInspections in the sidebar or select it in Assets gallery view iconMore.

  3. Click View report to the right of the inspection. For incomplete inspections, click More vertical icon and select File report iconView report.

  4. Click Share on the upper-right of the page.

  5. In the pop-up window, click the search box below the "Share to" section, then select Envelope / mail iconShare by email.

  6. Enter the email address. You can add 4 more email addresses by clicking Plus icon Add another email.

  7. Click Add email, then click Done.

  8. If needed, add a note to provide more context to the inspection report link and click Share to send the inspection report link in an email.

  1. Open the mobile app.

  2. Tap Inspections icon mobileInspections in the navigation bar or select it from Assets gallery view iconMore.

  3. Select In Progress & Complete tab at the top of your screen.

  4. Tap the inspection and select View report. For incomplete inspections, tap More vertical icon or More horizontal icon at the upper-right of your screen and select File report iconView report.

  5. Tap More vertical icon or More horizontal icon at the upper-right of your screen and select Copy link or Save web report link from the pop-up options.Create an inspection report link via the mobile app.

  6. In the share menu, select the sharing method and proceed accordingly.

  1. Log in to the web app.

  2. Select Inspections icon mobileInspections in the sidebar or select it in Assets gallery view iconMore.

  3. Click the inspection and click Link iconShare in the side panel.

  4. In the pop-up window, click unlink iconDelete link.

  5. Click Delete link to confirm.

If you delete a report link for an inspection, you'll need to create a new link before you can share the report again. Make sure to share the updated link with your team.

If you don't want your organization to use inspection report links for any reason, you can turn them off for the entire organization instead of disabling links for individual reports.

Frequently asked questions

If report links are turned off for your organization, you won't be able to create or share them.

If an inspection already has a report link, the link remains active and the report can still be viewed by anyone with the link. However, you can't create new links for archived inspections. To create a link, you’ll need to restore the inspection, create the link, and then archive the inspection again.
