Send course copies to users in other organizations

Learn about sending course copies and how to send one or multiple courses via the web app so you can distribute and reuse training courses across multiple SafetyCulture organizations.

What does it mean to send course copies?

When you send a course copy, you send a duplicate of a course to a user in a different SafetyCulture organization. The recipient receives an email invitation and can accept it to add the course to their organization. The course copy is fully independent of the original. Any changes you make to your course after sending won't carry over, and any changes the recipient makes to their copy won't affect yours.

This makes it easy to distribute consistent training across multiple organizations without recreating courses in each organization.

Send a course copy to a user in other organization

  1. Log in to the web app.

  2. Select Training iconTraining in the sidebar or select it in Assets gallery view iconMore.

  3. If you're on the "Learn" page, click Content at the top of the page and select Courses.

  4. You can choose how you want to view your courses by selecting between Grid icon or Table icon on the upper-right of the page.

  5. If you're on Grid icon, hover your cursor over the course and select More horizontal icon.

  6. If you're on Table icon, click More horizontal icon on the right-hand side of the course.

  7. Select Send iconSend copy. The send copy button highlighted in the table view of the course page.

  8. In the pop-up window, enter the recipient's email address and click Send copy.

You can only send a copy for 20 courses at a time.

Send multiple course copies to a user in other organization

  1. Log in to the web app.

  2. Select Training iconTraining in the sidebar or select it in Assets gallery view iconMore.

  3. If you're on the "Learn" page, click Content at the top of the page and select Courses.

  4. If you're on the Grid icon view, switch to Table icon view on the upper-right of the page.

  5. Check the course's boxes and select Send iconSend copies at the bottom of the page. 3 courses selected for sending course copies.

  6. In the pop-up window, enter the recipient's email address and click Send copies.

Once a course copy has been sent, the recipient will receive an email invitation. The recipient must accept the invitation within three days to access the course copy.

Limitations

  • Courses with SCORM and file slides cannot be fully copied. The files need to be re-uploaded in the recipient organization after the invite is accepted.

  • Sending course copies to multiple organizations is not supported. Course copies can only be sent to one organization at a time.

Frequently asked questions

No. The invitation can only be accepted by the user it was sent to. If the wrong person received the invitation, the sender will need to send the course copy to the correct email address.

The invite is no longer valid, and the sender will need to send a new copy to the recipient.

The recipient will see an error message when they try to accept the invitation. To accept a course copy, the recipient needs "Training: Administration" permission or "Training: Create courses (restricted)" permission.
