What is Contractors in SafetyCulture?

Learn about the Contractors feature in SafetyCulture and how to efficiently track and manage the contractor companies your organization works with.

The Contractors feature is currently in Early Access. If you're interested, go to the web app, select Contractors iconContractors from the menu on the left-hand side, and click Get Early Access.

What is Contractors in SafetyCulture?

The Contractors feature in SafetyCulture helps organizations maintain an organized register of contractor companies they work with. It allows administrators to efficiently manage company details, key contacts, workers, and key compliance documents, such as certifications and licenses.

You can categorize contractors by type and manage their details through their company profiles. Additionally, you can add users to a company, monitor user activity, request documents from key contacts, and track the validity and expiration dates of stored documents associated with each company.

If you have "Companies: Manage" permission, you can view and manage contractor companies associated with your organization.

Contractor management

Easily organize and manage companies under different types to provide a way to categorize the contractors you engage with, ensuring you reach the right people for each project.

When adding a company, you can also update the status to see if a contractor meets essential requirements, such as certifications or insurance. You can also quickly identify companies with documents that are expired, expiring soon, or pending approval, making it easier to focus only on those that require immediate attention. This helps you assess at a glance whether the contractor is compliant or needs follow-up to meet compliance standards.

Company profile

Within a company's profile, you can view all relevant company details, such as phone numbers and email addresses, ensuring key contacts are easily accessible for communication. You can also add users to a company and view a complete list of associated workers, providing a clear overview of everyone actively engaged with the specific company.

In addition, you can keep track of each associated worker's activity across the platform, including relevant inspections, reported issues, and assigned actions. Tracking these activities helps assess each worker's compliance and performance across the different areas of the platform, such as Inspections, Issues, and Actions.

Documents on companies

Easily store and manage important company documents, like insurance certificates, contracts, and budgets, securely in one place. Categorize them by type and track expiration dates to receive alerts and stay on top of expiring documents. You can also archive outdated documents and easily restore them when needed to keep your space organized.

Request company documents

Easily collect the documents you need to meet your organization's requirements before contractors start work. Request documents such as insurance, contracts, or employment agreements from nominated key contacts. You can send requests when adding a new company or from an existing one, helping you stay on top of compliance and keep your records accurate and up to date.

Company document approvals

Ensure every document added to a company is accurate and meets your standards by going through an approval process. Review documents submitted by key contacts or added directly to your organization before it is considered valid. This helps maintain high-quality records and provides confidence in the documents stored for each company.

To improve the efficiency of managing credentials within your workforce, you can filter them by the contractor company they are associated with. This allows you to monitor validity and stay on top of expiration dates for each company worker's credentials.
